The Global Fintech Institute (GFI) is looking for a reliable, detail oriented Operations and Finance Executive to keep our back office running smoothly. You will support day to day HR administration, invoicing, claims and payroll, and work closely with our external accountants to keep records clean and audit ready.
GFI is currently led by a new team and going through a reinvention phase. We are a young management team building the next version of GFI, and we move quickly.
Responsibilities
Finance and invoicing
- Issue invoices, track payments, follow up on receivables, and maintain accurate billing records
- Support payment operations, including payment links, refunds, and reconciliation where needed
- Maintain a clean filing system for contracts, invoices, and receipts
- Prepare monthly documentation for external accountants and support month end processes
Accounting and audit support
- Liaise with external accountants on bookkeeping workflows and finance queries
- Prepare and organise materials needed for annual audit and statutory filings
HR and payroll operations
- Manage onboarding and offboarding administration for staff and contractors
- Maintain HR records, leave tracking, and core HR documentation
- Process staff claims and reimbursements based on internal policy
- Prepare payroll inputs and ensure payroll is accurate and on time
Operations and process improvement
- Maintain internal trackers, SOPs, and documentation across finance and HR workflows
- Coordinate vendor renewals and basic office administration when needed
- Identify recurring issues and propose process fixes to reduce back and forth
- Use AI tools to speed up documentation, drafting, and internal workflows while maintaining accuracy and confidentiality
Requirements
Academic qualification
- Diploma or Bachelor’s degree in any discipline (business, HR, accounting, finance, or related fields are a plus)
Experience and skills
- 2 to 5 years experience in operations, HR admin, finance admin, or a similar role
- Strong organisational skills and attention to detail, especially with documentation
- Comfortable handling confidential information with discretion
- Clear written and spoken English, with a professional communication style
- Confident working with spreadsheets and building simple trackers
- Comfortable using AI tools to improve productivity (for example drafting, summarising, and organising information), with good judgement on what should not be shared
Bonus
- Familiarity with HReasily, Stripe, and Xero
- Prior experience coordinating with external accountants or supporting audit preparation
- Experience in education, training, certification, or membership organisations
